Corporate Event Photo and Video Coverage: What It Includes and What It Costs

A company celebration only happens once, and the people in the room will remember how it felt long after the tables are cleared. Good photo and video coverage should capture that feeling without getting in the way of it. We photograph and film corporate events across Sacramento and Northern California, from conferences and galas to anniversaries and company celebrations, and we keep the process simple for the team planning the event.

What counts as a corporate event

For us, a corporate event is any gathering where a company brings people together for a reason. That can be a conference with a full day of speakers, a 50th anniversary dinner, a gala fundraiser, a holiday party, a product launch, or a team celebration after a big project. The setting changes, but the job stays the same: record the important moments, the people, and the details that show what the company stands for.

We work in hotel ballrooms, conference centers, wineries, restaurants, and office spaces. Some events are formal, with a stage, a podium, and an awards program. Others are relaxed, with guests moving between rooms, talking over drinks, and catching up with colleagues they rarely see in person. We plan our coverage around your schedule, not a fixed shot list, so the day feels natural for your guests.

Photo only, video only, or both

Many clients start by asking whether they need photos, video, or both, and the honest answer depends on how you plan to use the material afterward.

Photo only works well when you need images for a recap email, a company newsletter, social posts, and next year's invitation. Photos are easy to share, easy to print, and easy to use in presentations.

Video only makes sense when the sound and the movement matter, such as a keynote speech, a founder telling the company story, or a room full of people reacting to a surprise announcement. A short film can carry that energy in a way still photos cannot.

Photo and video together give you the most to work with. You get a full edited gallery for immediate use, plus a highlight film that sums up the event in a couple of minutes. If you have the budget for both, that combination usually gives the best return, because the same hours on site produce material for several different uses.

What it costs

Corporate event coverage is priced by the hours on site and the size of the crew. As a starting point, 4 hours of photo coverage is $1,600. Photo and video together for 4 hours is $2,600. Those example rates cover a single photographer or a photo and video team for a typical event in the Sacramento area.

Longer days, multiple rooms running at the same time, and a second shooter will change the price, and we will quote those details up front. Travel outside the Sacramento area can also affect the rate. What we will not do is surprise you after the event. Before you book, you will know the hours, the crew, and the deliverables included, so you can compare that quote with your event budget.

What you receive

After the event, you receive an edited online gallery of high resolution photos, ready to download and share. We edit for color and exposure, and we choose the strongest images rather than sending every frame we shot. That keeps the gallery useful for your team and for anyone who needs a photo quickly.

If video is included, you receive a 1 to 2 minute highlight film that works well on your website, in a recap email, and on social media. We also provide vertical clips cut for social, so your marketing team does not have to reformat a wide film for a phone screen. For conferences, we can also deliver full recordings of talks, which we cover in more detail in our conference videography post.

Turnaround depends on the size of the event, and we will give you a delivery date when you book. For most corporate events, the gallery and the highlight film arrive within a few weeks, and we can flag a small set of preview images early if you need something for a same week recap.

A recent example: a 50th anniversary in Sacramento

We recently covered a 50th anniversary celebration for a construction company at a Sacramento venue. The evening brought together current staff, retired employees, clients, and families, and the room had a warm, personal feel that went beyond a standard company dinner. There was a welcome sign at the entrance, a banner marking 50 years, and plenty of time for people to talk, pose for photos, and catch up.

The photos in this post are from that night. They show the kind of moments we look for at a company celebration: guests arriving, small groups talking, the details that mark the occasion, and the people who built the company over five decades. That is the material a company can use again, not only in a recap, but in hiring pages, anniversary posts, and future event invitations.

How we work on the day

We arrive early, check the light, and walk the room before guests arrive. We find the stage, the entrance, and the spots where key moments will happen, such as awards, toasts, and group photos. During the event, we stay unobtrusive. We do not stop conversations for posed shots unless you ask for them, and we do not block the view of the stage.

It helps to share your run of show with us in advance. Tell us the times for speeches, awards, and any surprise moments, and tell us who the must photograph people are. A short list of VIPs, founders, and award winners helps us make sure no important person is missed. We also like to know if there is a group photo you want, because that takes a few minutes to organize and works best at a set time.

How to book

If you are planning a conference, anniversary, gala, or company celebration, start with your date, your venue, and a rough schedule. From there, we can confirm the hours and crew you need and hold your date. You can learn more on our corporate photo and video page, and the short conference film below gives a good sense of how our event video looks and feels. We would be glad to cover your next event and give your team photos and video they will actually use.
